BEHEALTH 2025 includes a brokerage event, and therefore your data will be automatically disclosed to other participants according to your profile settings. Your name, position, and company will be visible. Your contact details (e.g., phone number, email) will only be shared if you agree to directly exchange business cards.
We ensure that your personal data (name, phone number, email, occupation) will be securely stored and used exclusively to send relevant information related to your professional interests, such as updates regarding this event or future similar events.
Due to the multiple event venues, additional personal information may be required (e.g., for access to partner institutions or secure facilities). This data will be collected strictly for organizational and logistical purposes.
During BEHEALTH 2025, photos and video recordings may be taken by the organizers. These may be used for promotional, informational, or documentation purposes, in full compliance with applicable data protection regulations.

By registering for this event you agree to the above notice.
This consent form outlines the conditions under which participants' personal data will be processed in relation to the BEHEALTH 2025 event.
1. Purpose and Legal Basis of Processing
The personal data provided will be processed exclusively for the organization and implementation of the BEHEALTH 2025 event, including:

registration and participation management;

logistical and administrative coordination;

facilitating communication with participants;

generating and issuing related documents, if applicable (e.g., certificates, participation confirmations, reports);

archiving supporting documents in compliance with legal and contractual regulations;

creating non-commercial and public-interest photo/video promotional materials.
If secondary purposes arise that are incompatible with the original intent, you will be asked to provide new consent. Giving this additional consent is entirely at your discretion.

Art. 6(1)(b) – Performance of a contract, if participation is linked to funding, mobility, partnership, or institutional agreement;

Art. 6(1)(c) – Compliance with a legal obligation incumbent on the data controller (e.g., archiving, reporting to funders, public authorities, universities);

Art. 6(1)(f) – Legitimate interest of the controller, such as effective event organization, communication among participants, promoting scientific activity, and maintaining academic and institutional relations.

3. Data Recipients
The data may be accessed by:

4. Data Retention Period

Data will be retained for 5 years in the event archives (e.g., reports, financial justifications, legal obligations).

Photo/video images may be retained for a reasonable and justified period for institutional archiving or public communication purposes (only with your prior consent, which can be withdrawn at any time).
5. Data Transfers
No data transfers to non-EU/EEA countries are currently foreseen. If such a transfer becomes necessary, you will be informed in advance, and appropriate safeguards under Articles 44–49 of the GDPR will be applied.

Under the General Data Protection Regulation (GDPR), you have the following rights:

7. Data Security
The data controller is committed to ensuring the confidentiality, integrity, and availability of your personal data by applying appropriate technical and organizational measures, in accordance with Article 32 of Regulation (EU) 2016/679.
These measures include, but are not limited to:

restricted access to data, limited to authorized personnel;

8. Use of Images
The use of image recordings in promotional materials is strictly subject to your freely given consent. The organizer is not responsible for unauthorized further distribution of images by third parties, such as other event attendees.
