Reimbursement Procedure
The ICTürkiye2025 International Brokerage Event will take place on 10 April 2025 at Point Hotel Barbaros, Istanbul, as part of the ‘Technical Assistance for Türkiye in Horizon Europe’ Project.
According to the Project Contract Rules, travel and accommodation support is only available to selected and eligible participants. Those who qualify for support will be explicitly notified by the Project team.
Guidelines and Application Process:
Step 1: Who is eligible?
Research institutions, businesses, industry sectors, governmental bodies, and non-profit organizations based in Horizon Europe countries (excluding Türkiye) may be eligible for travel and accommodation support in Istanbul.
Step 2: Conditions
To be considered for travel and/or accommodation support, you must complete a simple presentation template based on your b2match Profile and upload it through b2match by 4 April 2025. You also need to provide a meaningful and complete "Cooperation Profile on B2Match", outlining your proposal idea within the chosen call topics and specifying your preferred role as either a coordinator or partner.
Please note that both a well-prepared b2match Profile and a strong Cooperation Profile are essential for your eligibility and can increase your chances of receiving travel and accommodation support.
Step-by-Step Application:
Step 1: Please complete your Cooperation Profile on this website with all the required information and details specific to the event, if you haven’t already.
Step 2: Download the presentation template, complete it, and upload it to your profile page. You can find the presentation format in the Pitching Workshops section.
Step 3: Our capacity for travel and/or accommodation support is limited, so we prioritize the most relevant and promising profiles and collaboration offers. Presentation evaluations will be conducted weekly on a “first-come, first-served basis”.
Procedures for Participants Informed About Travel and/or Accommodation Support
If you have been confirmed as eligible for support by the Project team, we recommend that you carefully review the following points and contact the Project team for detailed information and necessary arrangements.
1. Your accommodation will be arranged by the Project team at a hotel close to the event venue (Point Hotel Barbaros) and in line with the Project Contract requirements and EU per diem rates.
2. If you have also been informed that you can benefit from travel support, your inbound and outbound tickets from/to Istanbul must also be booked through the travel agency working with the Project team. As per the Project Contract Rules, economy class international travel will be covered, provided that the lowest-cost option is used. However, transportation using personal or hired cars is not eligible for reimbursement.
3. Please note that reimbursements will not be provided for tickets or accommodation booked independently.
4. If you have also received approval for travel support and your arrangements have been made by the Project team, you must provide the boarding passes for the flights used to attend the event to the Project team in hard copy.
